Terms of use

1. The service
Mailify is a service for email, team chat, calendar, tasks and pages. It is provided by Webies AS (org. no. 931 455 699), «we» below. These terms apply to the business that has an agreement with us («the customer») and to everyone using an account the customer has given them.
2. Accounts and access
The customer decides who gets an account and is responsible for how its users use the service. Each user must keep their sign-in to themselves. We recommend a passkey or two-factor authentication, and the customer can require it for all its users.
3. Acceptable use
Mailify must not be used to:
- send spam, bulk mail without consent, or phishing
- spread malware or content that is illegal in Norway
- try to gain access to other people's accounts or to our systems
- load the service in a way that affects other customers
If an account appears to be compromised, we may stop sending from it at once and notify the customer. For serious or repeated breaches we may close the account.
If the customer uses «Opened», the feature that shows whether a sent email has been opened (see the privacy policy), the customer is responsible for having a basis for it, including informing recipients and obtaining consent where the law requires it.
4. Your content
The customer owns all content in the service: email, messages, files, calendars, tasks and pages. We use the content only to provide the service to the customer, and we do not read it. You can take your data with you at any time.
5. Availability and changes
We work to keep Mailify up at all times and to make sure scheduled emails and reminders go out on time. We announce planned maintenance in advance. The service is developed continuously, and we may add, change or remove features. Changes that take away something significant from the customer are announced at least 30 days ahead.
6. Price, payment and termination
Prices follow the price list or the agreement with the customer. We invoice for one year at a time. Either party can end the agreement at the end of the paid period. After termination the customer gets a reasonable period to export its data before it is deleted.
7. Liability
We are responsible for providing the service as described. We are not liable for indirect losses, such as lost profit, or loss of data caused by circumstances on the customer's side. Total liability is limited to what the customer has paid for the service in the last twelve months. This limit does not apply in cases of gross negligence or intent.
8. Changes to these terms
We may change these terms. We notify the customer of significant changes by email at least 30 days before they take effect.
9. Governing law
The agreement is governed by Norwegian law. Disagreements are first to be settled amicably, and otherwise by the ordinary courts.

Who is responsible
For the content customers store in Mailify, such as email, messages and files, the customer is the controller and Webies AS is the processor. For account details, billing and this website, Webies AS is the controller.
What we process
- Account: name, email address, company, role and settings.
- Content: email, attachments, messages in Groups, calendars, tasks and pages, to provide the service.
- Security: sign-ins, devices and events, to detect abuse and protect the account.
- Billing: company name, organisation number, contact person and number of mailboxes.
Why, and on what basis
We process the information to provide the service under the agreement with the customer, to keep it secure, and to meet legal obligations such as bookkeeping. We never sell information, never use it for advertising, and never send email to outside AI services.
Where data is stored
Everything is stored on servers in Norway, backups included. Data is encrypted in transit and at rest, with separate keys per company. Webies staff have no routine access to content. Access requires the customer's approval and is logged.
When your email is opened («Opened»)
Mailify users can see whether an email they sent has been opened. The feature is called «Opened» and is off by default. The sender can turn it on for all email or for one email, and the company's administrator can turn it off for all its users under Settings › Company (Innstillinger › Firma).
The email carries one small, invisible image from mail.mailify.no. When a recipient's mail program fetches it, we store when it was first and last fetched, how many times, and whether the fetch looks automatic. We do not store IP address, device, mail program or location. The image is the same for all recipients of an email: with several recipients the sender only sees that someone fetched it, not who; with one recipient, that recipient's name is shown.
«Opened» means the image was fetched, not that the email was read. Some mail programs fetch images automatically; others block them. Email without HTML, email only to Mailify addresses, and email sent from other mail programs carries no image, and Mailify never fetches it when you read mail in Mailify.
The data is deleted 90 days after the email was sent. As a recipient you can opt out at mailify.no/en/opened: email to your address then carries no image, and we stop recording opens of email already sent. We store only a SHA-256 checksum of the address. You can also prevent this by turning off automatic image loading. The company sending the email is the controller and must have a basis for using the feature; Webies AS is the processor. Questions about a specific email go to the sender, or write to personvern@webies.no.
Images in mail you receive
Images in incoming email are fetched through our servers, so the sender does not learn your IP address or when you read. Known trackers are blocked.
Phone notifications
Notifications are delivered through Apple and Google. They only see that a notification is sent, not the content of your email.
How long we keep data
Content is kept for as long as the customer has an agreement with us, and is deleted after the agreement ends and the export period has passed. Security logs are kept only as long as they are needed to protect the service. Billing records are kept as long as Norwegian bookkeeping law requires.
Your rights
You have the right to access, correct and delete your information, to restrict processing, to object, and to take your data with you. For content in your company's mailboxes, the request goes through your company, and we help them. Write to personvern@webies.no. You can also complain to the Norwegian Data Protection Authority, Datatilsynet.
Cookies

This website, mailify.no, uses no cookies, no analytics and no third-party scripts. The font is served from our own server.
The app itself at mail.mailify.no only uses what it needs to work: a cookie that keeps you signed in, and local storage in your browser for an encrypted copy of your email, so the app is fast and works offline. The copy is deleted when you sign out. This is strictly necessary and therefore does not require consent.
Data processing for businesses

When your business uses Mailify, the business is the controller for the content and Webies AS is the processor. We enter into a data processing agreement under Article 28 of the GDPR with every business customer. It describes what we process, how we secure it, and which sub-processors we use.
For «Opened», we process on the customer's behalf when the image in a sent email was first and last fetched, how many times, and whether the fetch looks automatic, in order to show it to the sender. The sender's and the company's choice to turn the feature on or off count as the customer's instruction. The data is deleted 90 days after sending.
